When you use the RotoMail plugin on your website, it stores the following information in your local database:

SMTP Credentials: Hostnames, usernames, and passwords for the email accounts you connect.

Security Note: Passwords are encrypted using OpenSSL (AES-256-CBC) before being saved to your database.

Email Logs: Metadata about sent emails, including:

Recipient Email Address

Email Subject Line

Time & Date Sent

Delivery Status (Success/Fail)

Error Messages from third-party SMTP providers.

Plugin Settings: Configuration preferences (e.g., rotation limits, default sender names).

2. Data Transmission to Third Parties

The RotoMail plugin acts as a “bridge” between your WordPress site and third-party email service providers. By its nature, the software transmits data to the SMTP services you configure.

SMTP Providers: When an email is sent, the plugin transmits the email content (Body, Subject, Recipient) and authentication credentials to your chosen provider (e.g., Google/Gmail, Microsoft/Outlook, Amazon SES, or your web host).

No “Phone Home”: The plugin does not send usage data, analytics, or telemetry back to RotoMail developers unless you explicitly opt-in to a specific diagnostic tool (if added in future versions).
